TEMPORAL LOAN OF WORKS FROM THE BA COLLECTION FOR EXHIBITIONS

The BilbaoArte Foundation loans out the works of the BA Collection on a temporary basis to be part of external exhibitions. The majority of the works are available for loan, except for ones that are not for conservation reasons or are already out on loan to other museums and institutions on the dates requested.

The loan of the works is limited to museums, institutions, foundations and cultural spaces that guarantee the safety and proper conservation of the requested works. Given that BilbaoArte is responsible for its heritage, the works are not loaned out to individuals, private companies, commercial galleries or for promotional or publicity purposes.

Before submitting a loan request, the curatorial teams of the exhibitions should contact the people in charge of the respective collections, in order to clarify their selection and discuss the constraints regarding the exhibition of the works.

A loan request is assessed according to the intrinsic (state of conservation, frequency that it has been exhibited and availability) and extrinsic (exhibition project and conditions of the space, which must be accredited by means of a venue report) factors of the work.

The loan request must be made sufficiently in advance of the opening of the exhibition, so that all the necessary procedures can be processed.

The loan requests will be assessed by the people in charge of the Collection and the BilbaoArte management team, who will officially inform the applicant of the request status and whether it has been approved/denied.

Once the loan has been approved, BilbaoArte Foundation will send the requesting organisation the specific loan terms and conditions for the work or works regarding mounting, graphic documentation, insurance, conservation and catalogue.

 

How should the request be formalised?

The request can be submitted by post or email and should be addressed to the BilbaoArte Foundation director:

The request must include all the data related to the exhibition project in order to be able to correctly assess the loan. The request being incomplete could delay its assessment.

Information required:

  • Address and contact email of the person in charge and those involved
  • Exhibition title
  • Specific dates of the show: opening and closing
  • Requesting organisation
  • Organisation of the show (mounting, transport, etc.)
  • Venues: opening and closing dates at each venue
  • Curator
  • Project summary
  • Clear and detailed listing of the specific works for the loan (artist, title, year, etc.) and, if it is possible, with an image
  • Facility report: state, opening hours and safety of the venues where the work or works will be on show (with contact details)
  • Loan forms filled in and signed

The borrower will cover all the costs arising from the loan (framing, insurance, packaging, transport, images, correspondence etc.).
